UGiftMe for monday com User Guide
Learn how to connect UGiftMe with monday com so you can automate birthdays, work anniversaries and appreciation gifts directly from your boards.
Getting started
This guide walks you through the setup of UGiftMe inside monday com and shows you how to use the dashboard to schedule and track digital gifts for your team.
Once connected, UGiftMe checks your boards every day and sends gift cards for birthdays, work anniversaries and other milestones.
Initial setup
When you first open the app in monday com you complete a simple four step setup flow.
Step one UGiftMe account
What you do
- Create a new UGiftMe account or sign in with an existing one.
- You can also enter an API key manually if you already have one.
- Complete any required verification steps for your account.
You can generate API keys at app dot ugift dot me slash api keys or via the UGiftMe API.
Step two Select board
Connect to your employee data
- Choose the monday com board that contains your employee data.
- The board should include columns for employee names, emails and milestone dates.
- Make sure you have date columns for birthdays and hire dates.
Step three Map columns
Tell UGiftMe where to find fields
- Connect your monday com board columns to UGiftMe fields.
- Required fields are employee name and email.
- The app tries to detect matching columns automatically.
- Review the mappings, adjust where needed and select Save and Activate Integration.
Step four Complete
Your integration is now active. Select Go to Dashboard to start using the app.
Using the dashboard
The dashboard has three main tabs Overview, Scheduled gifts and History.
Overview tab
Todays milestones
- See all employee birthdays and work anniversaries happening today.
- Each milestone shows employee name, milestone type, gift amount and merchant.
- Select Process all to send gift cards to every employee with a milestone today.
Integration settings
- View your integration status.
- Update or rotate your UGiftMe API key.
- Check the connected board and the current column mappings.
Scheduled gifts tab
Use this tab to manage upcoming gift card deliveries and plan ahead for special occasions.
View scheduled gifts
- See all upcoming gifts with employee details, amounts, scheduled dates and reasons.
- Filter your view to focus on particular periods or campaigns.
Actions available
- Edit update the scheduled date, amount or reason.
- Send now process the gift immediately instead of waiting.
- Cancel cancel a scheduled gift. The app will ask for a cancellation reason.
Schedule a new gift
- Select the Schedule gift button at the top of the tab.
- Select one or more employees you want to reward.
- Choose a gift card product or merchant.
- Enter the amount within the supported price range.
- Select the scheduled date for delivery.
- Choose a reason such as Custom gift, Employee appreciation, Bonus, Incentive or Holiday gift.
- Select Schedule gift to confirm.
History tab
The History tab is your audit trail for all gifts that have been processed.
Processing history
- View all processed gift cards, both successful and failed.
- Filter by date range and status to focus on the period you care about.
- See employee details, milestone types, amounts and voucher codes.
Handling failed gifts
- For any failed gift, select Retry to attempt the processing again.
- Review error details to understand what caused the failure and fix the issue.
Automatic processing
Once your integration is active UGiftMe looks for milestones and handles gifting for you.
- The system checks your connected board every day at nine in the morning.
- Gift cards are sent automatically for employees with birthdays or work anniversaries.
- Voucher codes are written back into your monday com board so everything stays in sync.
- Employees receive their digital gift cards by email.
Tips for a smooth setup
- Column mapping accurate mappings are essential. Make sure the right date fields are used for birthdays and hire dates.
- Scheduling use Scheduled gifts to plan for seasonal gifting and key campaigns or send instantly for one off surprises.
- History check the History tab regularly to confirm delivery and resolve any failed attempts quickly.
Need help
If something does not look right you can follow this quick checklist.
- Check that your board columns are mapped correctly and that the right date columns are in use.
- Verify that your UGiftMe API key is still valid and has not been revoked or expired.
- Review the History tab for error messages on failed gifts.
